One of the common things we find after doing managed print for over a decade, is how few people really think about managed print at all. The most common goal we see with managed print is to get visibility into costs, rather than being responsive to random toners that need to be purchased. It is about putting something that is more difficult to budget under tighter control with more predictability.
We do this in several ways. First we look at the obvious, like default driver settings and if rules-based printing has been put into place. It is difficult to get print costs under real control without these two factors being addressed. What this means is, generally, your prints should default to black and white, and then there can be rules like any prints from email are black and white, but Publisher jobs are color.
Having these rules and drivers set will save money, and most users will never even notice the difference, so there isn't a political cost to pay when the changes are enacted. You simply get the savings.
